How long do RYA instructor qualifications last?

5 min read · Updated 26 October 2026 · Written for Principals, Chief Instructors and centre managers

The short answer

RYA instructor and coach awards are time-limited and must be revalidated on a fixed cycle: five years for the main instructor awards at the time of writing. First aid certificates last three years. Vetting checks have no legal expiry, but most centres renew them every three years. The date that matters is the one on the certificate or in the instructor's RYA record, so record it for everyone and plan renewals a season ahead.

The cycles that matter

Typical cycles at the time of writing. The date on the certificate or in the RYA record is the one to record and plan from; the RYA's current guidance is the authority.

Why the Principal needs the dates, not just the instructor

An instructor whose award has lapsed cannot teach the courses it covers until it is revalidated, and a session they are rostered on is then outside your recognition. The instructor may not notice; a five-year cycle is long enough to forget. The centre is the one that loses the session, the course income and, at inspection, the record. That is why qualification tracking is a centre job, with the instructor's own diary as the backup rather than the other way round.

What to record for every person

  • Each award: name, level or endorsements, issue date and expiry date.
  • Who verified it against the original and when.
  • First aid: provider, course type, date and expiry.
  • Safeguarding training: course and date.
  • Vetting: type, certificate number, date, and whether it is on the Update Service.
  • For under-18 staff, the extra limits that apply to their hours and supervision.

A renewal plan that runs itself

  1. Every autumn, list every record that expires before the end of next season.
  2. Book first aid as a group: a provider on your site for eight to twelve people is cheaper and fixes the date.
  3. Tell each instructor their revalidation date now, in writing, with the evidence the RYA will ask for (teaching hours, CPD attendance), so they collect it through the season.
  4. Set a lead time: nothing within 30 days of expiry goes on a roster without a renewal booked.
  5. Re-verify in spring against the new certificates, and update the record before the first roster is published.

Tip: Collect the revalidation evidence at the end of each season while it is easy to find, rather than four years later.

When something lapses mid-season

Take the person off the sessions that award covers, keep them on anything they are still qualified for (an instructor with a lapsed dinghy award may still hold a valid powerboat award and first aid), record the decision, and book the renewal. Don't roster around it quietly; the next inspection will read the roster against the records.

Questions

Do RYA instructor qualifications expire?
Yes. The main instructor and coach awards are valid for a fixed period (five years at the time of writing) and must be revalidated; an instructor whose award has lapsed cannot teach the courses it covers until it is revalidated. Check the certificate and the RYA's current guidance for the exact rules for each award.
How long is a first aid certificate valid for RYA instructors?
Three years. A current first aid certificate is a condition of teaching for RYA instructors, so an expired one takes an instructor off the water as surely as a lapsed award does.
How often should a sailing school renew DBS checks?
There is no statutory expiry on a DBS, PVG, AccessNI or Garda check. Most centres renew every three years or use the DBS Update Service for continuous checking. Put the policy in your operating procedures and apply it to everyone.
Who is responsible for tracking expiry dates: the instructor or the centre?
Both, but the centre carries the consequences, so the centre keeps the record. The Principal is responsible for the people on the roster being qualified for what they are rostered to do.
